Executive Assistant

Position Overview:

The Executive Assistant for Senior Management provides high-level administrative support to senior executives. This role involves managing schedules, coordinating meetings, handling communication, and performing various tasks to ensure the efficient operation of the executive office.

Key Responsibilities:

1) Administrative Support:
  • Manage and maintain the executive’s calendar, including scheduling appointments, meetings, and travel arrangements.
  • Prepare and edit correspondence, communications, presentations, and other documents.
2) Meeting Coordination:
  • Coordinate and organize meetings, including preparing agendas, materials, and meeting minutes.
  • Arrange conference calls, video conferences, and on-site meetings.
3) Communication Management:
  • Handle incoming and outgoing communications, including emails, phone calls, and mail.
  • Screen and prioritize communications, and respond on behalf of the executive when appropriate.
4) Travel Arrangements:
  • Plan and coordinate travel itineraries, accommodations, and transportation for the executive.
  • Prepare travel expense reports and ensure timely reimbursement.
5) Project Support:
  • Assist with special projects and initiatives as assigned by senior management.
  • Conduct research, compile data, and prepare reports for the executive.
6) Confidentiality and Discretion:
  • Maintain the highest level of confidentiality and discretion in handling sensitive information.
  • Ensure compliance with company policies and procedures regarding data privacy and security.
7) Office Management:
  • Manage office supplies and equipment, and ensure a well-organized and efficient office environment.
  • Liaise with other departments and external parties as needed.


  • Bachelor’s degree in Business Administration, Management, or a related field.
  • Proven experience as an executive assistant or in a similar administrative role.
  • Excellent communication and interpersonal skills.
  • Strong organizational and time-management abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to work independently and handle multiple tasks simultaneously.
  • High level of professionalism and discretion.
  • Strong problem-solving skills and attention to detail.
